What data we collect

We collect the minimum information needed to coordinate team activities:

• Your name and phone number (required for SMS authentication)
• Your email address (optional)
• RSVP responses for team events
• Sign-up sheet claims

For athletes, we also store grade, race category, and emergency contact information. Medical notes are stored only when provided and are visible to coaches only.

Why we collect it

This data exists solely to coordinate team activities — event planning, RSVP tracking, volunteer coordination, and emergency contact access for coaches.

Who can see it

• Public visitors: Can see event schedules and descriptions only. No names, no contact info.
• Guardians and athletes: Can see first name + last name of team members (roster view). Cannot see phone numbers, emails, or contact info of other families.
• Coaches and team managers: Can see full contact information for team coordination purposes (e.g., following up on unconfirmed RSVPs).

SMS messaging

When a coach creates your account on the NEYC Coyotes platform, you consent to receive SMS messages at the phone number provided. These messages are used exclusively for one-time login verification codes (OTP) — we do not send marketing, promotional, or bulk messages.

• Message frequency: SMS is sent only when you initiate a login. Typically 1 message per login attempt.
• Message and data rates: Standard message and data rates may apply depending on your carrier.
• Opt out: You may opt out of SMS at any time by contacting us at neyc.coyotes@gmail.com. Note that opting out of SMS will require you to use email login instead.

Cookies

This site uses a single session cookie to keep you logged in. We do not use advertising cookies, analytics cookies, or any third-party tracking. Our session cookie is classified as “strictly necessary” and does not require consent under applicable privacy laws.

Data retention

Season data is retained for reference and historical record. You can request deletion of your personal data at any time by contacting us.

No data sharing

We do not sell, share, or transfer your personal information to any third parties. Team data stays within the platform.
